At ESAE we care about sharing good practices and we are attentive to store and use members and non-members’ personal data.
How we use your personal data
When users visit our website they might be asked to provide their personal details in order to join ESAE as an individual member, an association or a partner, in the event that an organization offers goods and services to the association sector.
We commit to collecting and storing users’ data in our database and newsletter until the request for disposal is directly expressed by the person concern. We commit to using personal details (name of the association, name of the person in charge, address email, country) in order to track the payment record of our annual fees and to keep inform our members about news, activities planned, knowledge disclosure on different levels.
Users are enabled to subscribe to the member area on our website and share their personal information with the platform, in order to be updated and informed. Users might also be asked to provide their own details at conferences, meetings, training in order to be registered on our newsletter and for evaluative purposes (post evaluation of training and courses organized by ESAE).
Concerning the payments that we receive from our members via bank account and Stripe, we commit to implementing the best privacy practices which are shared only with our Treasurer in charge of the accountability. The respective details of those ones in charge of the manipulation of data at ESAE are provided in the footnote of this statement. Private details, such as credit card number and name of the holder are adequately safeguarded by our system and shared with no third parties.
Opt-out and disposal
If users have registered to receive communications from ESAE and later change their mind, they may contact us to have their name and contact information removed from our distribution lists.
Users are enabled whether to send an email to the following email address: email@example.com, or to courier their request to the address of our premises, that is Square de Meeûs 38/40 B1000 Bruxelles.
Users should keep in mind that our database is constantly processed and updated due to fee payments running on a constant basis throughout the year. That said, users should recognize the importance of their annual contribution to our non-profit making association. ESAE warns that due to recent updates on data protection policies in Europe, it will be no longer able to keep data of non-members who has not made a specific request to be contacted by us. The same procedure will be applied to all members who paid their annual fee in the past years but are outstanding in their recent payments without giving notice of their availability to remain ESAE members. ESAE commits to sending a reminder to this particular category of members warning on the necessity of an imminent payment to adjust their profile. Afterward, whether ESAE receives a direct request from an outstanding member to not be retained by our database or no response is perceived, the membership with our association will be dismissed in due course.
We may disclose personal information when required by law or in the good faith belief that such action is necessary in order to conform to the edicts of the law or comply with legal process served on ESAE.
